AANS Joint Sponsorship Guidelines

JOINT SPONSORSHIP SERVICES PROVIDED BY AANS

The AANS is responsible for designating your activity for CME credit in accordance with the ACCME Essentials Areas and policies and the Standards for Commercial Support. The AANS education staff representative is available to your organization and the appointed physician CME contact to ensure compliance with all ACCME requirements and policies.

The following is a summary of services provided by the AANS which includes reviews conducted by the AANS; ACCME reports and audits of the activities and an analysis of the practice gap change data collected from the jointly sponsored evaluation summaries.

Pre-Activity Items

  • Processing of the joint sponsorship online application of your activity
  • Review and approval of the application supporting documents (data sources, needs assessment, practice gap and preliminary budget)
  • Review and approval of the learning objectives
  • Review and approval of all promotional material including abstract request information (if applicable)
  • Review of faculty disclosure, conflict of interest, commercial support documentation (including signature by AANS staff on each Letter of Agreement)
  • Review and approval of the activity agenda
  • Calculation and designation of CME credits
  • Review and approval of evaluation form
  • Review and approval of exhibit prospectus (if applicable)
  • Review and approval of final program and meeting handouts
  • Review and approval of attendance verification form

On-Going

  • Correspondence regarding the joint sponsorship process and requests for information
  • Display and/or distribution of your activity flyers/registration brochures at AANS activities
  • Promotion of your activity on the AANS website

Post-Activity Items
Collection and review of the following items are required to process the CME certificates and to officially close your CME activity file:

  • Completed participant attendance verification forms
  • Attendance roster (preferably in Excel)
  • All on-site materials (program book, handouts)
  • Verbal disclosures made onsite during the activity
  • Final financial accounting of the activity
  • Participant evaluation summary report

The above documents are required in order for the AANS to provide CME for each jointly sponsored activity. Failure to meet the ACCME requirements will result in loss of CME for your organization’s activity and puts the AANS’ accreditation status in jeopardy.

Management of an activity (such as coordinating hotel logistics, registration, obtaining faculty disclosures, tabulating evaluations) is the responsibility of the joint sponsoring organization. The AANS can provide a tabulating service for your evaluations and possibly other management services for an additional fee(s).
